This Privacy Policy describes how Augus LLC (“Augus,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with the Projent web application (“Projent” or the “Service”), accessible at projent.io. Projent is a project management platform with integrated AI capabilities.

We are committed to protecting your privacy and will never sell your personal data to third parties. This policy applies to all users of Projent, including free and paid subscribers, team members invited to projects, and visitors to our website.

Privacy Commitments Apply to All Users. The privacy protections described in this policy apply equally to all users of the Service, regardless of whether you are accessing Projent on a paid plan, through a free tier, or as part of an Early Access, beta, or Friends and Family program. Our commitment not to sell your personal data and to protect your project content applies uniformly across all tiers and access arrangements.

1. Information We Collect

1.1 Information You Provide Directly

  • Account information: name, email address, and authentication credentials
  • Profile information: any personal preferences, expertise descriptions, or working style information you choose to provide within the Service
  • Project data: all content you create or input within the Service, including project details, tasks, assignments, financial data, and any other project-related information
  • Documents and files: files you upload to the Service, including documents, images, and spreadsheets
  • Communications: messages you send through the AI assistant, comments, and any correspondence with our support team
  • Payment information: billing details processed through our third-party payment processor (we do not store full payment card numbers on our servers)

1.2 Information Collected Automatically

  • Usage data: features accessed, actions performed, session duration, and interaction patterns within the Service
  • Device and browser information: IP address, browser type and version, operating system, device identifiers, and screen resolution
  • Log data: server logs including access times, pages viewed, referring URLs, and error reports
  • Cookies and similar technologies: session cookies necessary for authentication and Service functionality, and analytics cookies to understand usage patterns

1.3 Information from Third-Party Services

  • Authentication data from third-party login providers if you choose to use them
  • Error and performance data collected through our monitoring services
  • Frontend analytics data collected through our hosting provider

2. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide, operate, and maintain the Service, including AI-powered features
  • To process your project data through our AI capabilities in order to deliver the functionality you have requested
  • To analyze documents you upload so the AI assistant can reference them in its responses
  • To facilitate collaboration between project team members
  • To authenticate your identity and manage your account
  • To process payments and manage subscriptions
  • To communicate with you about the Service, including transactional emails, updates, and support responses
  • To monitor and improve the performance, security, and reliability of the Service
  • To detect, prevent, and address technical issues, fraud, and security vulnerabilities
  • To comply with legal obligations and enforce our Terms of Service

3. AI Data Processing

Projent includes AI capabilities powered by third-party AI models. Understanding how your data interacts with AI is important to us:

  • Project context: When you use the AI assistant, relevant project data is sent to our AI providers to generate responses and proposed actions.
  • Chat messages: Your messages to the AI assistant are transmitted to our AI providers for processing. Chat history is stored on our servers to enable continuity across sessions.
  • Document analysis: Files you upload may be processed by AI services for content extraction and analysis. You control which documents are available to the AI assistant through controls within the Service.
  • No AI training on your data: We do not use your project data, documents, or chat messages to train AI foundation models. Our AI provider agreements prohibit the use of customer data for model training.
  • Human approval: When the AI assistant proposes changes to your project, those changes are subject to your explicit approval before they are committed. You retain full control over what modifications are applied.

4. Data Sharing and Disclosure

4.1 We Do Not Sell Your Data

We will never sell, rent, or lease your personal information or project data to third parties. This commitment is a core value of our business and is not subject to change without explicit notice and consent.

4.2 Service Providers (Sub-Processors)

We share information with third-party service providers who assist us in operating the Service, strictly for the purposes described in this policy. These providers are contractually obligated to protect your data and may not use it for their own purposes. Our sub-processors include providers of AI processing, cloud hosting, database services, file storage, authentication, error monitoring, analytics, and payment processing.

A current list of sub-processors is available upon request by contacting support@projent.io. We will notify users of material changes to our sub-processor list.

4.3 Legal Requirements

We may disclose your information if required to do so by law, or in the good-faith belief that such action is necessary to:

  • Comply with a legal obligation, subpoena, court order, or government request
  • Protect and defend the rights or property of Augus LLC
  • Prevent or investigate possible wrongdoing in connection with the Service
  • Protect the personal safety of users or the public

4.4 Business Transfers

If Augus LLC or the Projent product is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a different privacy policy.

4.5 With Your Consent

We may share information with third parties when you have given us explicit consent to do so.

4.6 Team Collaboration

When you participate in a shared project, certain information (such as your name, email, project role, and contributions) is visible to other project members in accordance with the project's permission settings.

5. Data Retention

We retain your information for as long as your account is active or as needed to provide you the Service. Specific retention practices include:

  • Account data: Retained until you delete your account, plus a reasonable period for backup and legal compliance purposes (not to exceed 90 days after deletion).
  • Project data: Retained for the duration of the project's existence. When a project is deleted by its owner, associated data is permanently removed within 30 days.
  • AI chat history: Retained to support continuity across sessions for the life of the associated project.
  • Uploaded files: Retained until deleted by the user or until the associated project is deleted.
  • Log and analytics data: Retained for up to 12 months for operational and security purposes, then aggregated or deleted.
  • Payment records: Retained as required by applicable tax and financial regulations (typically 7 years).

6. Data Security

We implement commercially reasonable technical and organizational measures to protect your data, including:

  • Encryption of data in transit using TLS/HTTPS across all connections
  • Encryption of data at rest in our database and file storage systems
  • Secure authentication with support for third-party login providers
  • Role-based access controls within projects
  • Isolated environments for production and development systems
  • Automated error monitoring and alerting
  • Regular review of access controls and security practices

While we strive to protect your data, no method of transmission over the internet or method of electronic storage is 100% secure. We cannot guarantee absolute security.

7. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal data:

7.1 All Users

  • Access: You can access your project data at any time through the Service.
  • Correction: You can update your account information and project data directly within the Service.
  • Deletion: You can delete your account by contacting us. Upon account deletion, we will remove your personal data in accordance with our retention schedule.
  • AI controls: You can manage which data is available to the AI assistant through controls within the Service.
  • Communication preferences: You can manage notification settings within the Service.

7.2 European Economic Area (EEA) Residents — GDPR

If you are located in the EEA, you have additional rights under the General Data Protection Regulation (GDPR):

  • Right to data portability: You may request a copy of your personal data in a structured, commonly used, machine-readable format.
  • Right to restrict processing: You may request that we restrict certain processing of your personal data.
  • Right to object: You may object to processing based on legitimate interests.
  • Right to erasure: You may request deletion of your personal data, subject to legal retention requirements.
  • Right to lodge a complaint: You may file a complaint with your local data protection authority.

Our lawful bases for processing personal data include: performance of a contract (providing the Service), legitimate interests (improving the Service, security), and consent (where applicable).

8. International Data Transfers

Projent is operated from the United States. If you access the Service from outside the United States, your data will be transferred to and processed in the United States. We rely on the following mechanisms for lawful international data transfers:

  • Standard Contractual Clauses (SCCs) where required by GDPR
  • The EU-U.S. Data Privacy Framework, where applicable
  • Your consent to transfer, as indicated by your use of the Service

Our sub-processors may process data in various jurisdictions. We ensure that appropriate safeguards are in place with each sub-processor through data processing agreements.

9. Cookies and Tracking Technologies

Projent uses the following categories of cookies and similar technologies:

  • Strictly necessary cookies: Required for authentication, session management, and core Service functionality. These cannot be disabled.
  • Analytics cookies: Used to understand how users interact with the Service and to improve performance.

We do not use advertising cookies or tracking pixels. We do not engage in cross-site tracking or behavioral advertising.

You can control cookie preferences through your browser settings. Disabling strictly necessary cookies may prevent the Service from functioning properly.

10. Children's Privacy

Projent is not directed at children under the age of 16. We do not knowingly collect personal information from children under 16. If we learn that we have collected personal information from a child under 16, we will take steps to delete that information promptly. 11. Third-Party Links and Services

The Service may contain links to third-party websites or integrate with third-party services. This Privacy Policy does not apply to those third-party services. We encourage you to review the privacy policies of any third-party services you access through or in connection with Projent.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will notify you of material changes by:

  • Posting a prominent notice within the Service
  • Sending an email to the address associated with your account
  • Updating the “Effective Date” at the top of this policy

Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated policy. If you do not agree with the revised policy, you should discontinue use of the Service and delete your account.
